Transcript for "Building a Better Future: Webinar for Construction Leaders":
Hello, everyone. We'll just give it one more minute here. We'll go ahead and get started. So, welcome to the call. Alright. We'll go ahead and get started. So first off, good morning, good afternoon to everyone that's, joined us here today. First, I would like to welcome everyone to the Workday live session, that we are putting on for our construction industry today. So we have realized that as leaders in the construction sector, you understand the tension between managing profitability with projects in the field, but also maintaining bulletproof compliance in your back office. When we were about to scale, with with our application, we know that you have to scale with with a solution. You have to, mitigate your risk. And two of the biggest challenges that you have is, you know, mastering, complex labor pay, but also unifying your project financial data. So today, we're going to address both of those head on. In the first half of the presentation, our focus is going to be on Workday payroll and also with the specialized complexities of prevailing wages and also union contracts. We're going to be able to show you how payroll professionals are going to be able to confident confidently, manage any of your certified payroll scenarios. Think about all the seams that you could potentially have in that process. But with the power of Workday core capabilities combined with the precision of our PointsNorth integration, this in partner partnership is going to be key to eliminating this compliance risk by unlocking our capacity for high value, government and union work. We will also review our onboarding task for new hires. I was at a conference last week talking to a lot of, construction organizations, and there was always something top of mind that they came to talk to us about, and that was around their, onboarding, getting employees in the door. So we'll we'll highlight that as part of our presentation today. But on the back half of our presentation, we're gonna look how, we drive operational efficiencies. We're gonna be able to demonstrate the combined power of Workday Financial Management, Procore along with Procore Construction, Management. This is going to show you how data flows instantly from job sites through project management and into our general ledger. The integration is how, Workday construction customers are gaining real time financial visibility to make make things better, faster decisions, and also ultimately scale their front and back office operation in unison. So this is our product statement, saying that any future releases will if we have anything that we're gonna talk about that is in a future release, we'll let you know. We just want you to base your decisions on what is currently available. Don't foresee us talking about anything that's going to be future, but we'll call that out if we do. So first off, I'm Dan Hardesty. I am a Workday HCM solutions consultant. I have over twenty five years in the HCM industry, and my focus is simple. It's making sure that Workday delivers measurable efficiencies and control to your construction workforce. I'm also joined with with one of my coworkers, Cameron Lott. Cam, do you wanna take a minute to introduce yourself? Sure. Thanks, Dan. Good morning. Good afternoon, everyone. Cameron Lott here. I am a solution consultant on the financials side of the house, like Dan, and really spend a lot of time with our architecture, engineering, and construction customers and prospects, learning how we can help, solve those challenges of legacy technology and ultimately streamlining with Workday and some of our partnerships. So looking forward to today's call, and thank you all for joining. So thank you, Cameron. We also have two specialized partners that are joining us. They're experts, whose solutions are critical to maximizing your investment into Workday. You're gonna hear from Jeff Simison, who is the national sales manager at PointsNorth. And rounding out our panel today is joining us, is with the essential connection between the field and the finance office, and that is Ernest Garcia, who is a senior service engineer at Procore. So together, we're going to show you how this combined ecosystem, solves your toughest payroll and project challenges. So let's go ahead and get started. First, we'll cover our agenda. So as I mentioned before, we're going to cover the Workday solution. We're gonna talk about this construction challenges that you're faced with. We're, we're gonna introduce the the points north relationship, and then, we're gonna round this out by doing some end product demonstrations. I will then transition it over to Cam for the back end of the of the call. So Cam, do you wanna cover your, part for the second half? Yeah. So for the the second part of today's call, we're really gonna talk about Workday and Procore and our partnership that we have created, to ultimately have the best in class from a construction management perspective as well as best in class from a Workday ERP. So we'll take a look at that Workday Procore and Workday integration and really look at how, Workday can streamline that job costing and create that modern financial solution for you, and then we'll close it out with a a few closing remarks. Perfect. So, first and foremost, you know, Workday delivers a truly centralized uniform HR platform. This means all your core HR and finance functionally lives in one place. The power here is simple. It eliminates those data silos. You'll get a single source of truth for your entire workforce. No more manual reconciliations. No more slow batch updates between different systems. Just a clean, comprehensive, real time view of your business. Our approach to AI is different. We're not chasing the hype. We are solving real business problems and putting the human at the center. Because all of our customers are on that same version of Workday, we focus on quality over quantity. We build AI that is deeply integrated into your flow of work, fueled by the largest and cleanest set of HR and finance finance data. And data, with this is going to have context. And without context, AI is just guessing. With Workday, you're going to have the confidence to make the right decisions. That's all works because of our core technology built on two pillars. First is the business processes. So every transition transition, transactions, will run through a pre delivered business process framework. This gives you complete control and guardrails to ensure the right steps are followed for the for things like hiring, promotions, terminations, all within that always on audit trail. So you'll be able to see all of those clicks and have the audit completely throughout the application. Then the second pillar is the real time data. Because all data and transactions are in the same system, reporting is native and real time. Your managers, your recruiters, and your payroll teams will always be looking at the same trustworthy numbers. Always, and and you're gonna have confidence in our data to make those data driven decisions. And we combine all of this into a single security model that is enforced everywhere from reporting to all your integrations. But let's talk about the complexities of the construction. So the in your industry is heavy regulated, especially on public works projects. Managing risk and ensuring compliance is often more challenging than the physical work itself. So managing prevailing wages is difficult because the required pay rate is not a single number. It's constantly changes based off of the worker specific job and the exact location of the actual project. This creates a heavy administrative burden where simple mistakes can lead to major funds. The next is a union payrolls. They're hard to manage because you must follow many different contracts and that each set of unique wages and benefits based on the worker's job, their skill, and their location. So calculating everything, correctly is complex due to varied rules for overtime, shift pay, and contributions to multiple pensions and health health funds that can change without notice. And then, also, the certified payroll is difficult to manage because contractors must must submit a detailed weekly report to the government that certifies all workers were paid the correct prevailing wage for their specific job and location. So with these three areas of nonnegotiable aspects of regulatory compliance, failure to manage this administrative and financial complexity doesn't just result in paperwork errors. It leads to significant risks, fines, project delays, potential legal action, and then also the loss of eligibility to bid on future, public projects. So with that being said, here's how we can help. So Workday provides the best in class foundation for HR, payroll, and financial management. But in the construction industry, particular on public sector projects, compliance introduces a unique intense layer of complexity that goes beyond the standard enterprise software. This is precisely why we partner with PointsNorth. So I am gonna pass it off to Jeff so that you can talk about, the PointsNorth relationship, you know, expand on the integrations with Workday and then how your system can manage the wage rate tables for the prevailing wages, union calcs, and how you can keep organizations compliant with certified payroll reporting. So, Jeff, go ahead and and, take it away. I'll just go ahead and advance to your next slide there. Yeah. Absolutely. Well, thanks for the introduction, Dan. I'm Jeff Simison, national sales manager here at PointsNorth. At PointsNorth, we've been helping organizations navigate the complexities of prevailing wage, certified payroll, and union compliance for nearly three decades now. Our relationship with Workday and being an API integrated solution allows for seamless data transfer to PointsNorth so users can accurately pay and be in compliance for their state and federally funded jobs along with managing union CBA guidelines. What you're seeing on the screen is is how we work with Workday. We have three targeted compliance solutions that will give you flexibility in how you manage that compliance. We deliver integrated software solutions. First, before payroll runs, our system, prepayroll rate management tools, automatically calculates the correct prevailing wage rates, the union pay rates, and fringe benefits on each employee's project, work class, and hours worked. This feeds directly into Workday so your payroll team process everything through their normal workflows. After payroll, our API seamlessly generates post payroll certified payroll reports for any jurisdiction, state, federal, municipal, or electronic portals, plus all the required union summary reporting. For clients that prefer to outsource the entire process, our managed services team of experts can handle everything from sourcing prevailing wage rates, managing the rates and fringes in the PointsNorth software, and creating and submitting all certified reports on the behalf of the client. As we transition to the next slide, before we jump into a short demonstration, I wanna give you a clear step by step walk through of how the data flows between Workday and PointsNorth through our API integration. Employee data automatically syncs from Workday to PointsNorth, where you're gonna be able to maintain your prevailing wage rates, your union rates, your fringe benefits, your project codes, and work classifications. Each pay period, when you approve your time data in Workday or other third party time applications you might use, it flows from points north where our system calculates the correct amounts to be paid on each employee's project, work class, and all the applicable rates. We then export this calculated data, including your proper pay codes, back to the Workday payroll grid, and Dan will show you that process in Workday in just a few minutes. Your payroll team processes payroll as usual in in Workday. And once payroll is completed, the finalized payroll data will automatically return to PointsNorth via the API for purposes of certified reporting and union summary reporting. This cycle repeats seamlessly each month with no manual data entry required. So we're gonna transition here as I grab the screen, Dan, and, show you what the PointsNorth software looks like. Grab the entire screen. Okay. So PointsNorth should be coming up. Very good. So what you're seeing on the screen, is the PointsNorth software. And as we transition into demonstrating, this main page on PointsNorth is a calendar. This is matched to each individual company's payroll dates. We can accommodate weekly payroll and biweekly payroll and turn that back to a weekly certified report. PointsNorth is a cloud based software, so you have the ability to see historic reporting or make edits to reports that have already been completed. For audit purposes, you can search by any month, any year, or any pay date to see any reports you've already generated. The integration points with Workday will bring in employee data. So we will bring in from the employee side through the integration, their name, their address, the last four of their social, date of birth, EEO information, along with default wage rates and work classifications. Housing all of the rates inside PointsNorth lives under a rate management tool. This is where we allow clients to manage rates by an authority, a project, a work classification, and even down to the individual employee lines. So as I pull up the rate tables, you're gonna see that rates can be maintained with a start and end date of when they're effective. The hourly rates of pay are maintained. Any cash in lieu that is required to be paid is calculated along with housing any hourly fringe amounts. So calculations can be completed and transitioned back to Workday for purposes of payroll. All of this information starts and comes in under our data entry screen. This is an integration point where the time data enter enters PointsNorth and where users will see hours worked by an employee, by a work class, by a project, and hours by day. PointsNorth is calculating the hourly rate of pay and any hourly fringes that are required to be generated. We provide this back to Workday in a prepayroll file that you're seeing here. Dan will show you where this information lives in Workday in just a moment. But as you're seeing, the worker, Michael Anderson, was paid seven hours at $50 an hour with applicable fringes that will be sent back to Workday. For purposes of certified reporting and once you've approved your payroll data in Workday, you'll see all of the gross pay, itemized deductions, net pay, check numbers come right back into PointsNorth. Clients are able to go directly to pay period reporting and generate any version of certified report they might need. Again, PointsNorth offers a 102 different report formats to accommodate state, federal, municipal, and third party systems. I'm generating the WH three forty seven, which is the federal version of a certified report. We are capturing their name, their address. We are calculating how much they earned on the project along with providing digital compliance signatures. Users can select one button to email all of the reports internally and externally wherever they might need to go. Where we'll pick this back up with Workday is the prepayroll process. So I'm gonna send this back to Dan now to show how PointsNorth, sends in the calculated data for payroll. So, Dan, back to you. Perfect. Then I'll take over screen sharing. Alright. As that's coming up, you should see the last slide that we just presented. What I thought I would do is share a couple of, integration examples that we have. We're not limited on how we do this. We work with different organizations in in many different ways. So this is an example of an integration. So depending on how you're wanting to partner with, with with Workday and, also with PointsNorth, you can see here what the integration looks like. So, this is, an example of, a customer that is using us for time and labor. So you'll see here that we have to pass the time information to PointsNorth to be able to generate that report that Jeff was just highlighting. So you'll see the back and forth integrations, that is managed by Workday and PointsNorth, so there's no worries there, but also being able to get the information back into your accounting software. Here's another example. So sometimes, time might not be in scope because, you want to keep that within your ERP. That's fine as well. So, of course, then the integration points change just a little bit. So then that way we can feed the hours and the points north. They can generate that gross payroll. We get those payroll results back to points north to be able to generate those reports. So where I wanna focus now is where that, that gross payroll is being sent from PointsNorth into Workday. So here is an example of the integration file. So with PointsNorth doing all the prevailing wages, the union calculations, the per diems, all the the things that construction needs with any of those wage rate tables, this is how the information would then flow into, into Workday. So now we'll go ahead and jump into product demonstration within the the Workday solution. So I'm gonna log in as Logan McNeal, who is my administrator. So we'll just, list her as the the payroll administrator. Now she has access to everything. So first starting off with a a, an employee just being able to search for an employee's record to see how they're listed in there. So Jeff mentioned the fact is is being able to see who the worker is and how we're delegating the information to be able to transition that information over to them. So we will have all of the labor fields, designated for them to be able to go in and pass that information over. Because he is a union worker, we also have access to be able to track his union membership. So if we need to make any adjustments, of course, we can then take action and then add them to additional unions as well. But to pick up with the payroll process, so sending that integration file that grows payroll, your payroll administrators will have access to the pay cycle command center. So that sounds very official, but think about anything and everything that relates to payroll that needs to be managed. So this is an example of the dashboard for the pay cycle command center. Notice you'll have different tabs that's going to assist you along the way. So when you go to the payroll audit, this is your pre payroll. So think about your managers in the field that are doing hires and terminations, compensation rate changes. This is where you'll have access. And, again, this is just a series of reports on a dashboard, so you can configure this dashboard to look exactly how you wanted to. But this one here is highlighting what are we ready to process payroll? What were the changes that happened from the last payroll to the next that's going to impact how the payroll is gonna be calculated? I also have some terminations out here. So one worker was terminated in my San Francisco location. I also have some new hires that I need to go into. Now I can drill into this information to be able to see who those new hires were. Payroll needs to know. HR needs to know have they completed their onboarding process. So have they completed their tax forms? Have they completed their direct deposits? So this just gives you an indication so that way that you won't have any corrections to make in the next payroll or have to, process a second time. So you'll also see here that we have actions that are in progress. So this is a new dashboard. So what we're looking at here is regular payroll processing. So I am in the process of running the weekly payroll for the 10/14 through 10/20. Also notice that we can compare, pay periods. So that way, I can determine if there was any discrepancies so I can drill into this information and get the information that I want. This is a huge differentiator. It's actionable reports on your dashboard so you can get to those real time results and get make this, those changes as necessary. A couple other callouts, this is a dashboard just kinda showing your trends. Did we have any spikes in any of our processings? And then lastly is our our accounting summary. This is where I can have real time access to my general ledger to make sure that everything is being calculated properly. Accounting loves having this access. So we can set this up for the business process to have this report go to your accounting team, or your accounting team can have access to these results depending on the security levels that you provide them. That way, if they wanna go in and drill into the information, actionable data going in to see what the actual general ledger accounts are, what those work tags are, how are they going to be transitioned in, then I can drill into this by pay component. So then that way I can see and, actually, I just chose the salary information there. But you can also see employee work tax and by pay component, which gives you a little bit richer data. So now we're looking at the employees, the debits, and credits. So that way they can have it make any changes before you finalize payroll. Now I wanna go back. The back button does work in Workday. It's fantastic. Notice on the right hand side that now I have some steps that I need to go through. So first is that launch integration. So, Jeff talked about the integration point. This is how you'll be able to bring that data in, but you will also have access to go in and take a look at what those results are before you process. So I can just go in and take a look at the the the batch process that came in, and I wanna look at the details. Now what I'm looking at is the actual totals, and I'm able to look at what my inputs are by employee. Is it an override? Is it a prevailing wage? Is it a rate change? All of that information is is consumable for you to be able to make sure everything is correct. I'm gonna go back to the process screen and and actually process the payroll. So when it comes to the payroll process, we've got everything listed in. I go in, run the payroll calculation. Again, there's ways of being able to choose the the period and the the pay group that want I wanna run that on. I can also choose, do I wanna run a smart calculation to run everything that's made changes based off of effective date, or I can make it based off of events or workers. So when I go ahead to click submit on this calculation, it's going to say it's going to take, eight seconds to process. I just refresh the screen, and now I'm able to look at my preview results. Those preview results allow me to go in and drill into the actual worker and see what those results look like on the the pay profile. So you'll see here that now we've got the cash of, French benefits. You can see the work tags that's associated to it so we can tie it back to the general ledger, and you can see what the dollar amounts and the values are. So we are taking that information from PointsNorth, doing those those calculations and making sure that payroll looks accurate. Then you can take it to the next level, and maybe I wanna go in and say, you know what? I made some changes, and I wanna go in and look at the pay statement to make sure it displays properly on the pay statement. So we can configure the pay statement with the details that you need to have on there for your workers to understand how they're being compensated. So you'll see the earnings. You'll see the pay information. It's going to have the sub periods and the pay rates and, the year to date information as well to help them understand how they're being compensated. Once payroll has been, reviewed, one last call out is the other fact is is if I'm in a worker record and let's just say I forgot to pay them something, I can add an input from the actual worker and just recalculate that one time card. What does that mean? You're not having to reject the payroll for the whole organization to make that one correction. You're making the correction under the one employee. Now when it comes to compliance, we're providing you with the compliance updates. You'll see here the compliance update going into this record. I can see that I had some changes in Ohio. You'll see that those were local changes. We're also providing you access to the actual website of being able to do this research on your own. Now once payroll has been finalized, you can go ahead and, submit that. And then what that what happens next is that those integration points happen. So PointsNorth will get those final results so they can go ahead and, process their sort of bad payroll. Now real quick, because we are a mobile first strategy, this is where, I had lots of conversations at the construction, conference last week. They wanted to be able to see what the onboarding experience looks like because they're the workers are out in the field. So what we are able to do and, actually, it's not sharing. Bear with me. Alright. We're gonna make a quick pivot here because it's not working there. Your workers will have access to the mobile. I just disconnected my, iPad from there. With your workers, they're gonna have access to be able to do this in in mobile the mobile technology, but they're gonna have access to a dashboard to be able to complete the steps necessary. So onboarding activities, they can go in and complete their their tax filing information. They can do their, benefit elections. All of those steps can be part of this process for them to go through and be able to complete. So, again, with the mobile first strategy, we're giving them the experience to be able to maintain their information. They can see their pay statements, their w twos, also do performance evaluations, field evaluations, as part of all of their experience. So imagine your workers coming to one place to be able to complete everything that relates into onboarding, but also maybe even completing some of the learning tasks. So if there's any types of required learning that they need to be able to complete, all done within our learning management application, and it's mobile enabled as well. So that is just a quick high level overview of the payroll process. So what you've just seen, with the partnership of PointsNorth, we took the the the time, information, pass that through PointsNorth to be able to do the wage rate calculations and provide us with the compliance. We process that, got your employees paid through that process. And then, also, we we took a very quick look at the onboarding. We'd love to have more conversations with you around this, but I am going to pass it off to Kim and let him take over for the second part of the demonstration. Thanks, Dan. Alright. So for the back half of our presentation today, we're really gonna talk about, Workday and Procore for the office of the CFO. So how we're able to, unify that job costing and that financials with that modern general ledger. So first, how do we do this? We start by, leveraging one of our partnerships with Procore. So ultimately, having those best in class solutions, whether it's that, construction management solution, paired with Workday to bring together that powerful back office engine. So by being able to segregate those, duties and have that best in class solution for your field management, being able to have them leverage that solution, and then give your back office, the the information they need from a finance and accounting perspective to pass those project financial transactions or those job financial transactions back and forth between each other, as well as those people and those other cost. So with Workday, we're really being able to bring that back office to the front line. So ultimately, having those, solutions for the front line to manage their day to day jobs to get those projects, stood up and completed, to be able to give the tools to your finance and accounting team, to be able to start making those meaningful decisions and, impactful, accounting, treatments to be able to start job costing across the business. So whether that's using that construction management or managing your fleet or equipment, that time and productivity and that materials and delivery, being able to have that composable ERP between these solutions, to give you that robust, modern general ledger, to be able to start giving you that insights into all of your accounting and finance activities for, your business. Now Ernest is gonna talk, more in-depth about this, but when our partnership was created, Workday and Procore's connector ultimately starts giving you the ability to, send or push and pull data between Procore and Workday. So So having those projects both in Workday and Procore to understand where those costs are coming from, to understand where those, cost codes or those WBS codes, to ultimately give you that holistic view of your financials, whether that's at the project level, whether that's at a hierarchy level, and ultimately at your corporate level to be able to start, managing your business, from front to end, from a job costing perspective. So with that, I will hand it over to, Ernest to give us a overview of Procore. Cool. Thanks, Cameron. Hey, everyone. Ernest Garcia. I'm a solutions engineer here at Procore. And I work specifically with our partner team and Workday being a priority technology partner. So that's what brought me and Cameron together. I spent about ten years, I guess, twelve years. I'm older than I look. Working in the construction industry before coming over to Procore the last four years. And I spent a lot of time as a superintendent, project engineer, project manager. And, the reason why I tell you that history and it's it's, you guys will laugh and then probably understand, I was on the field teams probably calling a lot of you accountants saying, hey. This electrician that's on-site, they said they haven't got paid this month or for last month. What's the status of that payment? Right? So, my my account was Trina, so I'm sure everybody has a Trina in their office. Probably looking around, answering those calls and emails from your project managers on a daily or at least weekly basis. Right? So that's one of the main goals of this Procore and Workday connector, connecting the field team that lives in Procore all day every day, and connecting the accounting team that lives in Workday. So very, very important part and aspect of of this, connector. And so one thing I'm gonna show you is that connection. And number two, one thing I want you to take away is still the amount of control that not only the project team has over what goes into Workday, but what the accounting team has about the information that comes into Workday from Procore. So there's, many many different levels of control in terms of workflows in Procore, and then, of course, the actual stinking of the data. So those are the main two things I wanna I want you guys to take away. So I will share my screen here, and I'll show you a little bit of what it looks like here. Screen screen three. Alright. So, just to orient ourselves, this is the information that syncs from Procore in orange, arrow going to the right, Workday on the right side, information coming over to the left. The very first one to look at from the top is, we call them WBS, work breakdown structure codes. Right? Cost codes, cost types. Workday calls them project tasks. It's important to know that your company, when implementing this, you guys still have full control over what cost codes and cost types you wanna use. If there's a thousand or 12 in different types, custom segments is very important. You guys have full control over that and setting that up for your business and then thinking that between systems, that's the common language for everything else in this. Right? Like I said, this is very important. This number one, custom segments are supported. Very, very flexible for the type of business that you're running. The work breakdown structure in Procore, here's an example in a in a one of the demo accounts I have of the different cost codes, cost types. I wanted to do funding source or or phases or programs. You can create those. And then you actually order a budget code structure whether that is funding source and then program, then physical year all the way down to whatever regional program index in this example. You guys have full control over that. And and when I say you guys, it's the accounting team and whoever has those decision making first, permissions, and then you assign those to your your company and the users. So once, you know, that's the first step of full control. Only, individual permissions can even see this inside of Procore. Looking at a project budget on a project level now, this is an example of our budget tool cost, job costing. This is gonna be where a project manager spends most of their time. Right? Full control of the kind of budget and cost codes and cost types you want to, put into a project depending on what kind of, customer you are. Right? General contractor, owner, specialty contractor. It's gonna be very different. This is an example of a very normal general contractor, right, with the the CSI divisions I have broken up here. You have full control of the kind of views that you have. We call them custom views on our budget tool. Think about, like a, Excel spreadsheet. Right? But it is connected to the rest of Procore and and and be able to live with live links to commitments, direct costs, you know, closing the loop on the first half of this presentation. After doing your payroll and it gets into WorkDay, and that those direct costs will come back to the budget tool in Procore via the connector automatically. These direct costs come back, expense reports, journals. I think it's every 15. This is sinking back to Procore and a project manager can now hop into their budget and see those direct costs with transactional detail in Procore. So as you're paying payroll, your Europeans will know exactly how much they have left on those cost codes and be able to budget for them and forecast all inside of Procore. Another important part of, this of this connector is commitments. We call them commitments. Workday calls them, customer contracts. Oops. Sorry. Right here. Supplier contracts, I mean. So any downstream contracts. Right? If you notice this arrow is very intentional. It lives on the Procore side. So project managers will be able to negotiate, sign, and execute commitments, subcontracts in Procore, and then push that data over to Workday. And when when I say just the the contract, all of this information is coming with it. Commitment number commitment number, the schedule values, the cost code, the cost type description. You know, all of this information is coming over and gonna automatically go into Workday after the accounting team syncs that over. So very important. On the project manager side in Procore again, they have on the home page of the commitments tool, you'll even have an ERP status here that says synced, not ready, sent. All of these statuses can tell the project manager when it is synced, I know that my accounting team in Workday has this subcontract, and it is synced with Workday connected. So if this one's sent, that means I'm waiting on the accountant to accept it in Workday. Not ready means I'm working on it. It's obviously in draft. So I have full control on the project on the Procore side, and I don't have to call my accounting team. I don't have to call Trina and say, hey. Do you have this in Workday yet? So very important. All creating visibility, make better decisions and know the status of everything. Alright. Invoicing, another very, very important project management function. Right? Let me scroll back up here. Invoicing, subcontractor invoices. Now that is gonna be done all of it in Procore, and sent, negotiated, and a full workflow approval process all in Procore and then sent over to Workday as buyer invoice. The reason why that is so important is because, you know, Trina, again, she would call me and say, hey. The electrician just sent me an invoice. They're they say they're 50% done. Is that true? She's never been to the job site. I have to go out to the job site and make sure, talk to that project manager. You know, you guys know the whole routine. Right? That is why that's so important to live inside of Procore and own that invoicing process. The schedule values you've set up with that subcontractor is pulled into every invoice. And as you can see, this subcontract is be able to be broken down into any kind of, phase that you want. For example, I have a project manager for a 120,000. I created a contractor schedule values to where I broke that 120,000 into building a and building b. Right? That follows me to the invoices. Now project manager, building a, building b. Now we're not arguing over a 120,000, a million dollar line item. I break it down into 10 different phases. Follows me to the invoices. And now you much easier to negotiate. With the invoices, subcontracts, prime and any financial related tool in Procore, you would sign a workflow to it. So before it ever gets in the Workday, for example, you can rest assured that it has already went through the workflow, the custom workflow in Procore before it even gets to the accounting team. So in this example, I created a conditional work step to where a project engineer starts it, sends it to the project manager. If it is greater than $20,000, it goes to an executive review and then goes to the accounting team. If it is under $20,000, it can go straight to the accounting team. So before Workday, your accounting team even sees in Workday, you guys know that it went through the entire workflow you assigned to it. So that is a a very important part of controls on for both for the project management team and accounting team. With that, I'll pass it on to, Cameron to take over on, you know, in this example, work what an invoice will look like inside of Workday. Thanks, Ernest. Let me share the screen again. Alright. So here I'm logged in as a corporate controller in our environments. And what you see on my screen is where we're kind of picking up from, the end of that Procore journey over to Workday and what we call a job three sixty. Within Workday, this is where we really start to house all that information that's flowing back and forth between Workday and Procore, and starting to manage everything from those cost codes to start understanding where those costs are being, accounted for, from an accounting perspective that flow back and forth between the integration. Now one thing to mention as Ernest talked about earlier is that dimensionality or those custom fields that are available. With Workday's work tags, we can start associating that rich dimensionality back and forth between, those two, systems from an operational system to, your workday accounting system to be able to have that rich detail from a financial perspective, an operational reporting perspective, and a management reporting perspective. You'll also see that this is that centralized place that we can start to understand everything from, our contracts, from, those customer contracts and prime contracts that flow over between Workday and, Procore. So once those invoices are created within, Procore, they flow to Workday, and we can start to see, all of that invoice information directly in that single place to start understanding, what action we might need to take once that invoice has been, approved and sent. Maybe we need to start understanding what, impacts it has to our revenue recognition. So with Workday's revenue recognition engine, we can start to, maintain those accounting journals for, that percent complete rev rec within Workday. Now you'll also understand that we can see, those cost codes again. So being able to get granular from those cost codes within Procore, to be able to start, costing your business at that lowest level. We also see that Workday has flexibility in being able to have those roll ups. So being able to start rolling cost up in general buckets to be able to look at project, or job costing from a different lens. Now moving over to a, dashboard, we start to understand all of our information, how the business is running from a, construction lens as a job, as a job profitability whole. So up on the top left, we can start to understand what those different service lines, by a quick and dirty p and l. So understanding, you know, based on that security and who owns those different service lines, what their revenue down to net income is, but you'll also see that that headcount number, because we have that same single solution with HR and finance, is not that static number. So again, we're blending that HR and finance all in the same single place to understand what workers we might be responsible for. And with that ability within Workday, we always have the ability to start drilling. You'll see here that we have the ability to drill by more than just that company and account and that cost center. We can drill by things like jobs. So what what is our revenue trending by those different jobs? We could also layer in maybe understanding by customer. So what is that revenue by those customers or owners, directly within Workday? We'll also see some, robust reporting. So starting to understand what that labor looks like from a a job perspective, as well as that non labor. So how are we trending from a, revenue and cost perspective? Have we underbilled or overbilled is what that margin is, as well as that total profitability. We can also see here over on the right is a quick project costing report. So what was that total contract value, what our estimated profit might be as well as that estimated margin. We can also manage all of our vendors and suppliers within Workday. So with Workday's full procure to pay, kind of solution, we can start leveraging those contracts and purchase orders to maintain those costs, from a, direct cost perspective as well as some of those committed costs, that are originating within, Procore to start understanding, how we're trending from a supplier perspective. Maintaining that time within Procore and Workday, to make sure that we have that right time submitted and approved and costed against the project from a job costing perspective. Maybe we have some uninvoice purchase orders by those projects, so understanding what might those invoices we need to get in the door so we can pay those, as well as any of those billable expenses. So with Workday, we have the ability to, maintain all of your expense management, in that single mobile device directly, for those field workers that might need to submit those expense reports as well as any of your corporate employees as well. And then we can also see any of those supplier invoices, that might be in progress that we might need to approve and pay from a direct cost perspective. Now when it comes to billing and revenue, like Ernest talked about, we have, that, that connector where, those invoices from a customer perspective flow over to Workday. And then ultimately, Workday starts giving you that ability to start, managing that job costing, and ultimately revenue recognition all the way to cash application. So with Workday's built in AI features, we have the ability to, start maintaining that cash application from a intelligent perspective, giving you the ability to review what, Workday surfaced up from, machine learning to go ahead and manage that full end to end process from, rev rec to cash app. Now on my screen, you can see here that we have a quick and easy project three sixty or profitability report. So understanding, what that gross margin might be or that labor margin. Again, just giving you that full visibility into all of your jobs and projects that you might be maintaining, between Workday and Procore. Any of those, revenue, forecast as well. So with the ability, to start leveraging those opportunity projects within Workday from a CRM, to bring those in and start forecasting what that, revenue forecast might be, for those opportunity projects going forward or, with those, revenue pro those revenue generating projects that are already in flight, from those jobs that are already, being synced between Workday and Procore. Now heading over, we can also get very granular on our reporting. So from a job costing perspective, we have the ability to get finance and project executives, the ability to start digging deep into, job costing reporting. So this is really where that pro Workday and Procore partnership comes together and starting to understand, from a job costing perspective what that job was and what those different cost codes are that are coming directly from, Procore you can see here. Now through this, we can start assigning that schedule values, to those, different cost codes within Workday through Workday's, budget functionality within our jobs, as well as maintaining any of those change orders that come over from Procore, to ultimately get that revised budget. Now from there, then we'll start managing all of our our cost, whether those are committed cost, originating within Procore or, those direct costs that are, originating within Workday. Really giving your team the CMOS ability to start looking from a holistic view, how your job is performing, to understand what those commitments might be, how that budget is remaining, to ultimately then pick up the process from a accounts receivable and an AP perspective, to understand what that, revenue recognition process, should be, managing some of that WIP, and ultimately getting to, that estimated profit and estimated margin. Now you'll see over on the right that we have, the ability to layer in those configurable metrics and KPIs, most important to your business. So again, giving you that ultimate flexibility through reporting within Workday, to be able to understand exactly how projects are performing, and what needs to to maybe needs to take action as you're, you're headed down, that project. Now just like any report within Workday, we can always drill back down to source transactions. So understanding any of those invoices, whether they originated directly within, Procore or whether they, originated in Workday, you have that ability to start interrogating that data to understand what exactly has hit your project, and your cost ledger to understand, those costs associated with the project. Now Workday also has the ability to just give you that rich, rich information, directly from your fingertips. So on our home page, you can see here, Teresa has that operational analysis dashboards. So from an operations perspective, how are we understanding our business? How are we managing those expenses? We can also start to see again that revenue per headcount that is not that static number. That's that real time live number with that single HR and finance altogether. And again, if we need to start drilling, we can start understanding what those, operating expenses are by cost center, and maybe we wanna drill in by different location. So whether this is a job location or a branch location to start understanding some of those operating expenses, we can always interrogate further to understand what we're spending those dollars on or where those, dollars are coming from, whether from a spend perspective as well as a revenue perspective. So we can also see here at the top that San Francisco, we can understand all of those costs associated for that period. But because we have those workers in that same single solution, they would wanna drill by that t and e by worker to understand those different impacts of those employees. Now Rodrigo has some high expense reports. Maybe these are operating expenses that we need to try to cut down on to improve that bottom line, but we can always get back to, that that, that source level detail. And directly from here, we can take that related action and, again, see that expense report, directly from here. And because we're in that same, single solution with HR and finance, we can also take a related action on Rodrigo, and get that information from his worker profile that Dan showed you a little bit earlier to start understanding things around, what their job is or each talent based on that single security, of course. Now I know today's session was quick, but really wanted to give you an overview of Workday's platform and really ultimately how we start to, leverage those best in class solutions in the field like Workday's partnership with PointsNorth and Procore. So Workday gives that, functionality to your back office to be able to have that robust financial ledger and robust, HCM, perspective for your workers, with the ability to have that single mobile device, to ultimately manage your your your employees and have them have that better user experience. Now you'll also see that we've talked a little bit about, our AI and machine learning that's built natively within, our solution today. So whether that's, you know, work tag or dimension recommendations all the way to that CAPTCHA application, and even other, a little over 200 use cases, the ability to start streamlining your business. So we wanna thank you for your time today, and if you, have any questions, we can reach out to your account executive. But thanks everyone for joining. We hope you have a great work day.
