Transcript for "Finance ERP for Big City Transit Agencies":
Good morning and good afternoon, everyone. I'm Rowan Miranda with Workday. I lead our industry team for state and local government and higher ed. So glad you could be with us. So this is a really interesting topic for me having worked with many different transits across the country, finance ERP for big city transit. Just the product statement that says whatever you're about to see should make your decisions on features actually available as opposed to anything we might show prospectively. And let me go through the agenda today. So I'm gonna go through a couple of slides just about our transit practice across The US. Then I'm gonna get into a conversation with Raul Sud on our who's a chief technology officer, on the Workday team, and he's also got an excellent background in public transit. He served as a CIO. And we're just gonna talk about the environment and trends in public transit. Then we've got Brandon Meehan, who's a finance guru in our solution consulting team. He's worked with a lot of different ERPs. He's certainly a Workday finance expert. He's gonna be talking about some of the capabilities for, in finance that could serve the unique needs of some of the big city transits, and then we could take any questions you have in the chat box and then wrap up. With that, let me put up here the Workday Enterprise Management Cloud. Many of you, have probably seen this, but what Workday does is we don't do everything for transit. We don't do fare collection, fleet management, etcetera, but we do cover all of the financials, some of which you'll see today, project accounting, grant accounting, very important to transit. Procurement certainly are unique to transit compared to other government or commercial agencies. The expense management, inventory, etcetera. So we cover all of that as well as all the human resources, recruiting, learning, etcetera. It all sits in a single code line, not separate modules that interface to each other. It's available through the various interfaces, iPads, tablets, the, mobile phone, etcetera, which is especially convenient to a workforce that's not always in the central office like the transit workforce. And it's held together with a business process framework, single, strong security layer, and built in reporting analytics as well as AI, which is the hot topic of the day. That's our enterprise management cloud. And then some of our customers, we're really proud of these customers, across the country and it's a growing group of customers. RTD in Denver, Santa Cruz Metro, I won't go through all of them. On the far right, we just got selected and finalized by Houston metro. We're excited about that. Some of these customers are finance and HCM and some of them are just HCM, then likely later build on finance. And so with that, I wanna get Raul on here. I'll stop sharing. Bear with me. Okay. We're back. Good. Raul, good morning. Good morning, Raul. Good afternoon. What part of the country are you in these days? Today, I'm in Dallas. I live in Denver, Colorado as you mentioned before. And tell us a little bit about your career, how it's evolved, how you got from working in transit over here. So I'd love to hear it. Yeah. I've been in Workday for four years, almost four years now. Before that, was at RTD. Started in RTD as a, a consultant and then got into employ employment and then had grew up in my career at RTD, from manager, director, to that CTO level position. So modernizing technology, helping transit RTD transit, go from what we were doing at twelve years ago versus what we were doing when I left RTD. And being able to modernize these platforms to help transit run better. So, that's the background. But, would love to talk to you about how transit agencies can help through the journey of modernization from a technology perspective. Excellent. By RTD, it's the Denver Regional Transit District. Right? Regional Transit District. In Denver. Correct. Excellent. So, there's a lot of discussion about the funding models for transit. We've got a very, you know, acrimonious situation here in Chicago in my backyard with Chicago transit and the Regional Transit Authority and so on. So besides the need for the new funding model, what are some of the key challenges facing transit agencies over the next decade? What do you see? So based on my experience working in transit for twelve years, I think, what I saw then and then still now also, it's I think we all know all of the transit agencies are running assets that are aging. So managing the state of good repair of those assets is becoming critical and critical, and what we can do to help improve and manage that life cycle of an asset within a transit industry is becoming super important. The growing cost of doing business is affecting, all organizations, including transit. So how can we use, processes and technology to help manage that cost of doing business is becoming super important. And then on the people side, as we all know, driver and train operator shortages, aging workforce, and then retention challenges within the company, within the transit agencies are making it more challenging to, are are some of the bigger challenges that I I saw and then I still see when talking to the transit agencies. So, I've done some work in transit. I did a lot of work for the New York MTA, some for SEPTA, certainly Chicago Transit Authority. And transit CIOs and CFOs are quick to point out that they have some very unique needs in certain areas from other public sector or commercial entities, what would you say some of the most salient differences are? I would say, from my experience, self contained organizations transit organizations are self contained organizations that need the ability to plan, execute, analyze, and sustain on their own. Right? They need to be able to collaborate with the rest of the counterparts in city, county, and state organizations. And then, having the ability to be more visible and transparent and being able to show what we are doing to run that transit, state, is becoming lot of those that are unique differences that I see, that I saw when I was out there. Yeah. And then so when you were CIO, CIOs think about the IT footprint, the systems landscape differently. It's not just about ERP. Talk a little bit about that. What does ERP have to coexist with? So I think the back office and operational systems, when we, needs to work in unison to run the complete business. So it's it's not only the HR and the ERP side, but those HR and ERP side platforms needs to be able to work in unison with the operational systems. What I mean by that is, it's not only the people and the money side. Right? They those are the two pillars, but then operations and customers are the third and the fourth pillar. And how can we have platforms, modern platforms, open platforms, having the ability to not only do what they do best in the finance and the HR space, but having their ability to work in unison with, the operations platforms, the asset management platforms, the customer management platforms, all of those things, are becoming super critical for us to run the entire transit organization in a better way. Yeah. So what does Workday or our systems integration partners do to help transit agencies in that regard? It's not like we just plunk down the finance system. How do we help them with the interoperability? Yeah. So I think it's the data visibility, transparency, converting data into information. Right? And then with AI these days, we are try converting that into more intelligence. So how can we use all of that? So, platforms like Workday, are having that unique ability to not only be the system of record, but having that system of record engaging with, integrating with other platforms. So, partners, implementation partners, and Workday help bring those things together to give a unique point of view from a data perspective so they can you can go from people using money to run operations and helping customers get from point a to point b. So bringing all of these things together is what we do as a platform provider to be able to give you capabilities to be nimble, be agile, and be, more cost effective in getting you a platform where you can see those insights and run your business using data insights rather than just processes. Thank you. So getting back to the topic at hand real quick related to finance. When we talk about managing the finances of transit agencies, especially given the volatility of funding, What are some of the outcomes delivered by cloud systems like Workday that are decidedly an improvement over legacy systems? Yeah. I think we touched on this a little bit. So I'll reiterate my four points. Number one, ability to have a single connected system of record. Right? Number two, that platform needs to be open and easily connected with other platforms. Number three, converting, having that platform, having the ability in that platform to convert data, not only into information, but using AI to give intelligence to the business to run it. And then fourth, having the transparency, agility, and auditability all built in into the platforms to be able to have you run your business and being able to monitor how you can how you're running your business using that platform. Our I see modern cloud systems needs to have all of these capabilities to be able to do those things. Excellent. So CIOs then, there's the finance functionality, HR, procurement functionality, but they also have to worry about security, disaster recovery, data security. Tell us about that. How do cloud systems do yep. So I think we all know data security was not less critical before. Right? But with the changing environments around us, it is becoming lot more important for organizations who do not have a lot of resources to manage information security on their own to lean on platforms and partners that are built from ground up using security first principles. Data platform security should not be an afterthought. And transit organization need partners like Workday, which not only gives complete governance and control, but also full auditability on anything and everything that happens in the platform. So that's the security side. And I would say from a disaster recovery running uninterrupted operations with SLAs that not only guarantees uptime, but also performance should be the new norm. Right? Gone are the days we are only worrying about keeping systems up and running. Keeping systems up, but then those systems performing to the level that the organizations are expecting is becoming super critical as well. Right? Workday platforms cable capability to run with near zero downtime gives transit organization much improved service levels. So, when you think about cloud modernization, again, as you mentioned, the CIO is not thinking just about ERP. There are these other operational systems. How much do you think they should take on? Can you take on EAM modernization, ERP, FAIR systems? How do you how do you balance all of those? I this was my biggest challenge when running the application side of the house at Rtd as well. And that's where you see I lost most of my hair. I'm just kidding. The the maturity to manage and influence change within an organization should drive how much big of an effort transit organization should take. Right? So when I say that maturity to manage change, if you are a mature organization that can take on bigger changes, bigger implementations together in, as one phase versus splitting that into multiple phases. It all depends on where you are from a PMO perspective, where you are from a change management perspective, where you are from a governance perspective to be able to drive a a big change or converting that change into smaller chunks in doing those changes, in phases. Excellent. The last question. We got another minute. I wanna make good use of that minute. So the buzz of AI is everywhere. I went to a conference this week for cities and counties. Every vendor booth was AI. So where are transit agencies seeing the biggest positive impact for AI potential being deployed? Yeah. I believe that each agency, transit agency, and their departments within transit agencies need the ability and tools to do more with less, because we do not have big workforces. We're trying to manage cost. All of these things are giving us the capability to leverage these newer technology concepts like generative AI, agents, and agentic AI to be allowing agencies to be more efficient than before. Right? So I've I believe efficiency is what agencies can use with technologies like AI to be able to drive that human machine teaming. So wherever we need to take away all that mundane, repetitive task through machines using technologies like AI agents and everything, that is where we see I I see a lot of efficiencies that transit agencies can get by doing that human machine teaming. Right? And then not only just doing that teaming, but how that team with machines and humans working together are gonna be able to produce efficiencies in the flow of work and helping agencies to do more with less. Well, Raul, thank you for your time this morning. We really appreciate it. I know you got a busy plate, but thank you again. Thank you, Ron. Great. With that, I'd like to bring our my friend, Brendan Meehan, on stage. Good morning. Good afternoon, Ron. Brandon, take it away on the demo of the finance capabilities. Alright. Great. Well, good morning, good afternoon, everybody. Brendan Mann, financial principal consultant with Workday. I'm gonna go ahead and share my screen and we're gonna get into a demo on Workday. Hold on. Let me just share this. And I just wanna confirm that you can see my screen, Rowan. Yes. We can. Okay. Great. Alright. Well, let's go ahead and get started. So so my example today in my demo, I've got about thirty five, forty minutes. I'm gonna do a little walk through or a day in the life of a senior finance person, Matt Fong. He's, an employee at a transit authority, and he's logging into Workday. So this is the universal login page that Matthew will get, his landing page when he comes in. And here, he can see everything that's occurring. So he has a little preview of his inbox. These are things that he needs to take action on, and that's really one of the first things that Matt likes to do as a senior finance person. He can go in. He can look at all the tasks that he needs to take care of. But Workday being a singular platform, HR and finance, Matthew has an employee, Dolores, who's requesting time off. She's looking for a couple of vacation days. You can see, that she's looking for Thursday and Friday off. You can review her balances. He's gonna go ahead and he's just gonna review that. And success. Right? Everything in Workday runs on the business process. Everything is audited. You can see the details of that process. So as a request for time off, when did Dolores put that information in, date and time stamp, and then who approved it, Matthew Fong, date and time stamp. So, again, nothing is lost in Workday. Matthew also has a number of items. Also in his inbox, he has a budget check item. So, David Snow submitted a a requisition, and it failed budget check. So Workday will prevent spending before it occurs. So you can put these controls in place. It'll actually go out. It'll review the plan amount. Here, we put in a requisition or some IT spend. The plan amount was for 5,000. The requisition was for $51.25. He exceeded the plan, and therefore, he got a card error. So, again, Matthew could, send this back. He could deny it. If he sends it back, he can send him a little note. Need to reduce, requisition amounts or budget control, or he could do a budget amendment and increase the budget. But at this point, he's gonna send that back, and that will then flow back to David Snow, and he'll get that in his inbox. Matthew also got a requisition from Deborah Tucker. Deborah is looking for some transit training on safety operations. She's looking for some professional services, $1,200 worth of, time. And we can see who the supplier is here. And I'm gonna highlight a few other items here. These are the accounting dimensions. So we can see right here the cost center, the fund, and the program. So Matthew, right away, he can say, you know what? I know we need to have this, $1,200. I can put it in a little note, looks good. And he'll hit approve. And just by triggering that, that's going to trigger a budget check. So that's part of the business process where Workday will check the budget. And then up next, he has a supplier invoice. So this is an invoice currently in progress. It's from Grainger. $2,500. We can see the details here. Again, this is for some additional technical service support. It's an invoice that's come through. We can see all of the details that's, been done on this. The requisition, the PO, the receipt, and now the invoice. Everything is aligned from a matching perspective. We can see the details here as well from an accounting standpoint. We can see the cost center. I'm just gonna highlight a few things here. The cost center, Matthews department. We can see that we've got a work order. So in Workday, we can integrate with work order management systems or EAM systems. If you've got those, stand alone systems, we can bring in those numbers into Workday, and we can assign them to these transactions. There's a fund, a program, and not only that, but a grant and a project. So this is for a bus fleet upgrade, this technical services that we're doing, as well as we're gonna fund it with a grant. So again, all of this information is happening right on the line item of the requisition or of the invoice. So just a keynote here, the foundation of a modern financial chart of accounts is really driven by, something called the the work tags or accounting dimensions. They're flexible, they're business contextual, and they capture really key information like fund, program, grant, and department. So, and a lot more like work order. So, again, you're getting all that key information without hard coding that into a string, and I'll show you what that looks like. But let's go ahead and approve this. I'm gonna approve that supplier invoice requisition, and we can see right away that it did a budget check, supplier invoice. I can view the details here again. I can view the process history. Audit is always on. I can see that it was inputted by Jeff Cortez back on, on October 23 and it came into Matthew Fong. He reviewed and approved it and it was approved as a cost center manager. So right away, all that detail has come in. Now, I'm gonna go over to some reporting areas here. Now, Workday is one system where budgeting, accounting, auditing, reporting all happen seamlessly and this really eliminates that reconciliation process and ensures that your budget is tied directly to your actual. So we deliver over here a number of dashboards over a 130. I have one here where I created one, so you can create your own dashboards. This is a vision dashboard, and this is where Matthew likes to look at a number of functional areas, so I can see my budget to actuals. I can see my financials, my spend, my project, my grants, and then I can also look at any business continuity activity that's occurring in the system. I'm just gonna scroll down here to the budgetary balance by account and I'm gonna expand this. So here I can see my budget, my pre encumbrance, my encumbrance, and my actuals. Well, right away, there's that $1,200 that we just approved for that requisition. I can drill down and notice all of these, county dimensions. These are the work tags. Very flexible to be able to see all this detail and I can drill down by any of these dimensions. If I click on it by business document, there's my requisition. I can open up this in a new tab and I'll be able to see the details of the requisition. So it was put in by Deborah Tucker. I can see the balances, $1,200 for professional services. And again, I can view all of those accounting dimensions over here, the cost end of the fund, and the program. If there was a grant or a project, we would see that there as well. And again, audit is always on. I just wanna re hammer that. It's not an afterthought. You can't turn it off in Workday. It is already turned on and you can always report on it in Workday. Let's go back to our budgetary balance, budget to actual report. Let's drill down on that contract labor that we saw. There's the auditor controller report and now I'm under the actuals column. Let me drill down on that a little bit further. Maybe I wanna look at that by business document and there's that supplier invoice 2331 for $2,500. I'm gonna open that up in a new tab and we can look at the details here and what we'll see are kind of the header information. So it just highlighted a few things. Workday will always tell you where you are. Oh, it's not paid yet, so it's unpaid. It's been matched. It's approved. We have an invoice number and then there was a budget check that was completed on it. I can see my supplier and then I can see all the line items here as well. All the invoice line items, if there were multiple lines, you would see them here. This is a basic example, but just kinda highlighting the details here. But, really, the power of what Workday gives you is that flexibility of these accounting dimensions by project, by grant, by program, by fund, by work order. You'll see me drill down in multiple dashboards by all of these different dimensions. Legacy applications, you were tied to those rigid, cryptic segment strings where you couldn't get that information. Workday decoupled that when we allow you to have that flexibility, in that. This invoice also has an attachment. Right? Matthew can see the attachment. You can drill into the PDF. We can also view it visually here. We can compare it and kinda look at it from that standpoint. It's from Grainger for $2,500 and that might have been brought in by our OCR technology. So optical character recognition where it scanned that PDF and it populated this invoice for us automatically. But a really nice feature that Workday offers is the ability to navigate a transaction. So we're looking at this supplier invoice and we're navigating the full life cycle of this invoice. I can drill all the way back down to the requisition that was put in, and I can see that requisition detail, requisition one two four three. Take a related action on it and in two clicks, I can view the accounting. So right away, Workday gives you the ability using our object model architecture. I can see the debit to the contract labor and then the credit to the reserve for spend pre encumbrance. And we ultimately liquidate that when we create the PO and then we liquidate the commitment when we create the actual. So Workday will track that all the way through. Well, one of the things that I also wanna highlight is the ability to see all of this detail on the line item of the requisition and then or on the PO or on the actual, invoice itself. I can get right to these accounting documents right here in two clicks. Very easy to get to that information. Let me close out of that supplier invoice and come back to this budget actual dashboard. And one of the things I wanted to highlight on this is, Rowan mentioned, you know, we're HR and finance together. Matthew can see not only his finance budget to actual, but he can see his full time people that are associated to his department, to his cost center. So these are all the people that roll up to Matthew as the director senior finance person in the transit authority. He can see all the details. He can see their base amount, their hire date. Again, you can drop this into a PDF. You can graph this out. You can get information. Workday is very dynamic from an analytical standpoint to get to that to that data. So let's move a little bit forward here in our demo, and let's look at the spend management. That immediately has visibility into how a spend is managed. So what does that mean? How is it managed? Well, that's the ability to determine how did we actually procure this. Was it on contract? Was it a PO? Was it just an invoice? So here I can see that detail. I can see my spend category, which is a lower level expenditure item. But maybe I wanna drill down on this a little bit further and look at it by department. Again, using those rich work tags, those accounting dimensions, I can drill down by something called spend control method. I'll just hit refresh and using the flexibility, the multi dimension flexibility, I can view my total spend by department and then I can view it by was it on a contract? Was it an invoice only? Was it a PO? And I can see all of that that rich detail as well. Maybe I wanna drill down a little bit further, and I wanna look at it by a work order. Which spend did I have activity from a work order perspective? Maybe I wanna add in, some more information. Maybe I wanna see the spend control. How did I actually procure that information? So here I can see I've got a couple of work orders. Well, there's my $2,500 and if it's blue, it's a clue as we say in Workday. You can drill down right into it and you can get to that supplier invoice. If you wanna look at the accounting, you take that little related action and boom, you can view the accounting. So very easy to navigate in Workday. You're almost moving at the speed of thought to really kinda navigate and get that rich insight that your, that your organization really needs to have. And like I said, you can download it into a PDF, into Excel. You can mall this out into graphs. You can change it, maybe from a line perspective as well. So again, very flexible to kinda get to that detail in in Workday. Now, another thing that Matthew is responsible for at the transit authority is he needs to stay in compliance with the state diversity mandates and having a year over year, analytic or tracking is essential for demonstrating that compliance. Maybe he wants to drill down on his total spend by supplier diversity code, he can drill down by supplier. So now we can see what are those suppliers. So I've got women owned, I got veteran owned, minority owned, disadvantaged businesses. Maybe I wanna drill down a little bit further and look at it by supplier, by project. And I'm able to see that detail. So now I can look at by by supplier, and then I can see by project. I've got my transit security, a transfer substation, the blue line, or a bus fleet upgrade system here as well. So I'm able to get to that detail very, very easily in Workday, and I can drill down on that. Brent Brandon? Yeah. Brandon? Brandon? Yes. Just a couple of questions. Give you a little break here. Is is the OCR included built into financials or is it a separate SKU? So that is, part of financials, part of the, the supplier or the, accounts payable area. So bringing in that, OCR functionality. Okay. Next, do we have reports by specific module areas like APGL, etcetera? We do. We absolutely do. We, we have a whole repository of reports. We deliver over 5,000 reports, standard reports. You can copy them and you can tweak them, add columns, or add rows, however you want them to look. Very, very unique by functional areas. So yes. So these are the audience questions, not me trying not me trying to annoy you. Okay. Sure. That's any other questions? Nope. That's it for now. Alright. Great. Alright. Well, let's let's move forward. So that was kind of the spend management. Let's go ahead now and take a look at the project portfolio. So you saw on the original supplier invoice that I hit a project. Well, Matthew has the visibility to, look at, at his key projects. Right? Right? Workday was purposely built for the public sector in tracking not only grants but capital projects. So we track all that, and we can track it for with strategic initiatives and goals. So here, Matt, you can see a dashboard of the project portfolio. I'm just gonna scroll through here. I can see these projects. We got a bus fleet upgrade. That's the one that was on the invoice. We have a transit security substate to the blue line extension. Again, I can see the overall health, where are we from a turnover standpoint, from a people, a resource, or a budget. But what I wanna highlight here is I'm I'm gonna open up this portfolio of projects and now I've got visibility across all of the transit authority projects and maybe I've got a a grouping of infrastructure projects and here they all are right here. Who's the project manager? What percent is complete? What are the goals? What are the initiatives? And what is the budget and the cost remaining on these on these projects? So right away, I'm able to see that detail in a one portfolio view and get insight into that. These initiatives can roll up to your overall five year strategic goals. So I'm gonna drill into that initiative, and I can see that detail right here. All these projects are currently supporting this goal, but maybe I wanna roll up and look and navigate that goal and see where it fits in the overall five year strategic priority. So here's building energy and efficiency, operational effectiveness, and then ultimately, I've designed my five year strategic plan. So again, building your capital projects to support your project plans, very flexible, very easy to get insight into Workday to really get insight into where you are from that project standpoint. So let's go back to that dashboard and let's look at how can we fund some of these projects. That was a key item. We saw that we hit a grant on the original transaction on the invoice. Workday also has the ability to fund these projects using funding sources. So again, the bus fleet upgrade project, was linked to a particular funding source rule. So we might have a grant. We might have a capital bond that we're using. Very easy to kind of assign these funding source rules, and I could spend hours in talking about how we define all that. But let's take a look at a project. So I just clicked into our bus fleet upgrade project here. Gonna highlight a few things. We can see it spans multiple years. Legacy applications were tied year to year to year. You couldn't you couldn't have a multiyear project. You would have to close it, open it up again. In Workday, it's not tied to the, accounting fiscal calendar. It's a tie this is tied to the project calendar, which is in which is its own independent view. I can see a number of things in here from a resource perspective. So I can view all of my resources that I've got assigned to this. I can view the project plan here as well. So now I can view, all of the breakout of phases of tasks. I can get very low level. I can even build custom tasks in here as well. So from pre design, design, construction and you can build templates around this, and you can have timelines and you can you can do mass updates as well as attachments. All of that is pervasive in Workday. But really, the key item here is the financial accounting and the tracking of project accounting that comes with Workday. So, obviously, we've got a plan that we can assign to it, but I wanna highlight the project transaction report. So you saw that we hit that invoice in October for $2,500 for this project. I'm just gonna come over here to, slide over here. These are all the transactions that I've hit and notice right down here, I've got my $2,500. So I can see that I hit the contract labor, the department, I hit a a grant fund as well. So it knew that we were actually tracking that information, in there. Maybe I wanna drill down again by those rich accounting dimensions, maybe by work order or by grant. Maybe I wanna see what grant I used on that particular expenditure. I can see I get a DOT Safe Street Road, grant. So I can drill in and see that information as well. So, again, this is real time reporting in Workday. When I when this transaction occurred, it populated all of these dashboards, all of these reports. There's no batch, bugs, or external information that's occurring. Let's, take a look at this invoice again. And just for the sake of this, let's go ahead and pay this invoice because I wanna show you how we can get reimbursed from a Workday grants management perspective. And again, Matthew has the ability. He's got a super user access, and he can actually pay this invoice right from the actual invoice itself. So we're gonna go ahead and do that. $2,500. Just come here. We'll pay the invoice and we'll jump into grants and we'll see that. It's gonna ask me to assure and we'll say yes. Let's go ahead and proceed with with processing that. Again, this is an individual process. I can see that supplier invoice now. I can drill into it. I can see the amount that we paid, this EFT, and I can see the status at the top of that invoice is now paid. So again, very easy to do that in Workday to be able to kinda track that information. Let me go back to my financial vision board and let's look at the grants, side of this. So just kinda moving forward here in our dashboard and let's look at the visibility that Matthew needs to track for the for the transit authority. He needs to make sure that all of the grant money, is being, tracked, appropriately by his, Federal Transit Authority or DOT, and he can see that. He doesn't wanna have any penalties or doesn't wanna return any funding that he might have received in the back in the past, but he can see all of the expenses of the grant like to date, any revenue by grant or like to date. He can see that here as well. If there was any sub, recipients or subcontracts, subawards that he received, he can track that here as well, report on it federally as well. And then he can see the remaining award balance. So across all of his awards, you can see the remaining months, the funding, what's been billed, what's scheduled to be billed. So, again, he can see all of that detail. So the award the grant that we hit was the award, ten twelve. Let's go ahead and open this up in a new tab. And as I mentioned, you could have multiple tabs open in Workday. And now I'm looking at the award contract. So, again, grants integrated seamlessly with Workday. I can see who the grantor is here at this the Department of Transportation. What are the funding details? The $3,000,000 direct cost with also with indirect cost. The proposal that was initially sent out, and then fund ultimately awarded to, the transit authority. I can see the award budgetary balance. So my budget, my actuals, any pre encumbrances or encumbrances that are in flight, I can drill in on that contract labor, and maybe I wanna sort by accounting date, and there's my $2,500. Right? Real time reporting. There's my invoice that I approved in that inbox. Now a nice thing that I wanted to show, and that's why I paid it, was I actually am now able to get reimbursed. So based on the award cost processing rules, once we pay the supplier, we can get reimbursed. So now I'm gonna see that supplier invoice of $2,500 as well as 10% of indirect cost is going to get reimbursed, and I can bill that back to the Department of Transportation for that particular expenditure, that I that I incurred in my transit authority. So getting visibility, being able to track that, and then again, creating the billing, I could do it right off of the award contract. I could do it as a at an individual level. I can do it across multiple awards. I could do this right now and it's gonna go ahead and bill that. I'm gonna say, let's go ahead and and bill this as of today. And we'll select okay. We'll search and it's gonna find my let me select that. And we'll do as of today, we'll create the the receivable. We'll hit refresh. And just like that, I've created a invoice, for the receivable to get cost reimbursed by the Department of Transportation. I can see the line item. I can see that we're gonna get, like, $272,700 dollars. I can see the cost center, the fund, the grant, the object class, the project, as well as Workday links the expenditure items to that open receivable. That's the power of Workday. Automatically generating your accounting, we're creating that open receivable, debiting AR, crediting unbilled receivables, as well as putting the grant. So one other thing that we wanted to look at here as well is being a single system in an architecture, we we provide the ability to have business continuity. So business continuity, what does that really mean? Let's think about it. We run on a business process framework. Everything runs in Workday on a business process. I can see everything that's awaiting action. Excuse me. And I can show you all of our business processes that we deliver. So out of the box, I have 616. Just zoom in on that. So that's across HR and finance. Let's take a look at that supplier invoice. And this is the power. This is under the hood. This is the heart of Workday. If I look at that supplier, invoice let me just supplier invoice event. You can type it either way. And we can look at this so we deliver a best practice definition, but then you can configure that uniquely as to where that invoice needs to go in your operations at your transit authority. Does it need to have a cost center or a controller, a CFO, a budget manager, an asset manager to review and approve it. And again, doesn't need to kick off an integration. So it's more than just workflow. It is a powerful part of how Workday integrates. We can even view this visually from a process flow. And Workday automatically updates this diagram. You don't have to think about the days of the past in Visio where you would build this out and then put it on a SharePoint site. And then three months later, it would be useless because the process changed. In Workday, we self document automatically for you, ensuring the integrity of that process is maintained and updated as needed. So another thing that we also track, and you saw me do it a couple of times here, we're showing you the audit trail in Workday. So in Workday let me come back. We also have dashboards for the whole, audit cycle of Workday. Let's take a look at that, here in our business continuity tab. And this will come up in a sec, and I can view the whole auditor dashboard, the segment, segregation of duties. This is where maybe I wanna make sure that I have not any conflicts with suppliers or customers or payroll or any of that other information. Now with this one, it's kinda lit up pretty much because the login is Matthew Huang and Matthew can do everything. Matthew can create a supplier, he can create an invoice, and he can pay it. That's something you don't wanna do in your organization. Right? I'm in my demo environment, but this is where you would get that highlighted information. So maybe you wanna drill in. Anything in blue, you can see who has that access, who is doing those processes. Here's the top expenses with no receipt. Again, providing that audit information is really gonna ensure, to your stakeholders that you're boosting that public trust. You've got the the, integrity in the system, and then you're ensuring controls around who can do what in the system. So again, just giving you a glimpse into, what that would look like from an auditing perspective. All those segregation of duty audit report, finding journals, finding trial balances, looking at supplier invoices, assets, any of that information is easily available in Workday. And lastly, what I wanna highlight is Matthew can easily, monitor different anomalies in the system. So I'm gonna come back and we're gonna go to our spotlight on financials. And this really kind of rounds it out where, you know, when you think about, getting information at your fingertips to really help the organization, ensuring efficiency and making sure that the integrity of the financials are correctly, observed and reported on, Workday is gonna surface any unusual or erroneous journal lines. So we use machine learning, that AI capabilities that will compare any historical data, any similar transactions, and it'll surface that information for potential corrections, avoiding any bottlenecks or slowing down your month end closed processes. And you can drill in and you can see, oh, okay. Here's a couple. I'll just drill into one, this $3,009 one. I can see this was a supplier invoice. And based on the historical data, we can see the highlighted work tag was 4 40,000, the cost center operations, but the recommended work tag was to be $46,100 facilities and maintenance. So again, based on historical data, something that Workday will use with you to look at your data to help you make your efficient decisions, ensuring financial integrity, and making sure that your financial reports are reflecting the appropriate accounting dimensions as needed. So you don't have to spend time, you know, doing any corrections or slowing down that month end, a month down month end activity, from that standpoint. So I know that was a lot, Donna. It's a it's, forty seven minutes here. I just wanna thank you again for your time. I I've just demonstrated, a lot of information here. What you saw really was, a key modern financial application in the way that a modern transit authority would operate. Seamless integration between HR, finance, budget, procurement, and grants. You saw me take that transaction all the way through. Real time reporting, enhanced auditability. Workday is really gonna transform your your administrative processes from a necessary burden really into a strategic asset. And I think, at that point, I'm just gonna hand it back to, Rowan. Take it over from there. Yeah. We do have a question. So, go back going back to reporting. So we've got these delivered reports you mentioned by functional area. Right? Can you show us a little bit of that, just what that looks like? And also, I'm curious, do most of our in the old days, I remember, you know, vendors would say the on premise vendors, we have x thousand reports, but most people really didn't use many of those. So tell us a little bit about how easy they the delivered ones are to modify. What do our customers actually do with these reports? Absolutely. Yeah. Absolutely. Great question. So, again, we do have delivered standard reports. I'm gonna go ahead and and click on that, and I can drill down by the different report categories. So if I wanted to look across HR, if I wanna look across finance, I can view all of those different banking. Maybe I wanted to look at, assets. Right? Maybe I wanna look at, business assets. Right? I can click on there. Well, how many reports do we have that we deliver that are standard for business assets? Well, right here, I can see. Okay. Well, I've got 26, reports right here. I can see those details. Well, okay. Well, here's a couple of them right here. So this is a list of reports that we deliver that you can then copy. So here's a re here's a a report, the depreciation forecast report. And the way they what Workday offers is you're not starting from scratch. We're giving you these reports. You can run these reports. So I'm gonna show you how you can run this report. And let's say we're gonna run it for our Green Oak Valley. We'll just do it, I'm just gonna go back, 2024 to today. We'll just do it for a year. And I'm gonna run it for our Gatsby book, and I'm gonna run the depreciation forecast detail report. This will come back, and I could say, hey. That looks great, but you know what? That's the standard Workday report, but I wanna copy this. So this is what Workday gives you is the ability to copy our report so you're not starting from scratch. Maybe you wanna copy this, and it allows you to make a copy. You know, I'll copy this, call it Brendan. And now I've got my own version of this report and I can add columns, I can add rows, I can, change the output of this. Maybe I wanna make sure that it's not just a table. Maybe I wanna make it a a chart and a table. Well, what kind of chart do you want? Well, let's just do column cluster or whatever the example. And just like that, I can see, okay, that's fine. Maybe I wanna put it on a dashboard and now I can run this and when I put in my details here, it'll it'll allow me to change that. Right? So we offer this type of reporting functionality very easy to kind of run this. Let's just run this real quick. And Gatsby, then we'll run it. So now because I've kind of configured that to have a unique, chart, it'll come up and it'll provide that chart detail for me. Or maybe I don't want that chart. Maybe I want a donut chart. Right? So, again, on the fly, I can kinda model Yes. Out that information. Excellent. Yep. And, so I wanna wrap I wanna wrap by saying this. I know Workday is known for its products in the human capital management space. Just in 2025, we were ranked by Gartner highest on that quadrant for local government ERP. And then the and that was the first Gartner ranking just for local governments. And then, this week or recently, we got ranked as the highest, rating on the finance ERP as well. So we've come a long way for and thanks to folks like you, Brendan. Thank you for sharing, the presentation today. Thanks everyone for joining us. I put my email in case you have any questions. Feel free to reach out. Thank you again. Thank you all.
